*Interlibrary Loan Guidelines for
Research Assistants*
If a student assistant
submits an ILL request using the student’s own e-id and password, the account’s
personal information must match the student’s information at all times and not
the faculty member’s. Also, once an ILL request has been placed by the student
assistant, it cannot be transferred to any other account, including the faculty
member’s. Before placing ILL requests for a faculty member, a research
assistant and the faculty member should consider the benefits and drawbacks of
the following options:
ASSISTANT USES FACULTY MEMBER’S ILL ACCOUNT
Benefits:
- No cut-off on due dates at the end of semesters.
- Liability for the item rests with the professor.
- Articles are directly delivered to the faculty
member’s ILL account.
- Faculty member will have access to request
history.
Drawbacks:
- ILL username and password are the same e-id used
for many campus services containing sensitive information (i.e. JESS).
Possible solutions:
- The faculty member logs the student into the
faculty member’s account before student places requests, OR the faculty
member changes e-id password after student places ILL requests.
ASSISTANT USES OWN ILL ACCOUNT
Benefits:
- Easier for the assistant to access and track
requests.
- Assistant does not need to have faculty’s e-id
and password.
Drawbacks:
- All email contact will be through the student’s
email account.
- Liability for the item will rest with the
student instead of faculty member using the book.
- Due dates will be those for undergraduates and
graduates (i.e. there will be cut-off due dates at the end of semesters).
- Electronic articles will be delivered to the
assistant’s ILL account.
- Faculty member will not have access to this
request history when conducting future research.
Possible Solutions:
- Assistant is proactive in communicating with ILL
staff to make us aware of which loan requests are for faculty, and ILL
staff can make note in the appropriate records.
